“Best-in-class” is a marketing claim Microsoft makes about Microsoft 365. Working with Microsoft tenants every day for two decades, I have a more honest take: some Microsoft 365 components are genuinely best-in-class, some are good-enough, and a few categories still have stronger third-party alternatives. This practitioner’s view walks through each.

Genuinely best-in-class

Exchange Online. Email at scale, hybrid coexistence with on-prem, 99.9% SLA, integrated mail flow rules, archiving. Few alternatives can match it for a business of 50–5,000 employees.

Microsoft Teams. Despite UX complaints, the depth (meetings, telephony, collaboration, channels, third-party app embedding, custom apps via Power Platform) is unmatched. Slack is more elegant; Teams is more capable.

Microsoft Entra ID. The identity layer at scale — Conditional Access, SSO to thousands of SaaS apps, MFA / passkey enforcement, B2B / B2C. Okta competes; for Microsoft-shaped environments Entra wins by integration.

Microsoft Intune. Unified endpoint management across Windows, macOS, iOS, Android. Particularly strong on Windows + Microsoft 365 environments. VMware Workspace ONE / Jamf are alternatives but typically more expensive.

Microsoft Defender for Endpoint. EDR with industry-leading detection on Windows. Independent tests (MITRE ATT&CK evaluations) consistently rank Defender in the top tier.

Microsoft Purview eDiscovery. For organisations doing legal discovery on email + Teams + SharePoint, Purview’s integrated approach beats third-party tools that have to ingest data first.

Good-enough but with credible alternatives

OneDrive / SharePoint Online. Capable but rough edges on sync, search and large-document handling. Box, Dropbox Business, Google Workspace are credible alternatives if you can decouple from the rest of the Microsoft stack.

Word / Excel / PowerPoint. Still the desktop standard. Google Workspace wins for collaboration; M365 wins for offline + power features.

Power BI Pro. Strong, particularly with Microsoft data sources. Tableau wins for enterprise BI scale, Looker wins for SQL-native organisations.

Microsoft 365 Copilot. Genuinely useful for first-draft work and meeting summaries. Not yet best-in-class versus ChatGPT Enterprise or Claude for Business for raw model quality; wins on native integration.

Categories where alternatives still win

Project management. Microsoft Project / Planner / Lists work for light-to-moderate needs. Jira, Asana, Monday.com are stronger for serious project portfolios.

Customer relationship management. Dynamics 365 is capable but typically Salesforce remains the enterprise standard for sales-led organisations.

HR systems / payroll. No Microsoft offering in this category for the SMB segment.

Marketing automation. HubSpot, Marketo, Customer.io — best left to specialists.

Endpoint backup. Microsoft 365 native retention is not a backup. Veeam, Acronis, Datto remain best-in-class for M365 backup.

How to choose: the practical questions

  1. Is the Microsoft-first solution genuinely best-in-class? If yes (Exchange, Teams, Entra, Intune, Defender), choose it.
  2. Is there a meaningful gap that affects your workflows? If yes, plug it with a best-of-breed alternative.
  3. Does the integration overhead of running multiple platforms exceed the marginal benefit? Be honest about your team’s capacity to manage integrations.

A typical successful pattern for SMBs:

  • Email + Collaboration + Identity + Device + Endpoint Security → Microsoft 365
  • CRM → Salesforce / HubSpot / Pipedrive
  • HR / Payroll → Industry-specific
  • BI → Power BI for Microsoft-data-heavy, Tableau / Looker otherwise
  • Backup → Veeam / Acronis on top of M365

Bottom line

Microsoft 365 is best-in-class for several critical categories — and good-enough for most of the rest. The “best-in-class” claim isn’t universal but is accurate where it matters most.
