On 1 May 2026 Microsoft made the 20% Windows 365 Business price cut permanent. It started as a promotion last October; it’s now the standard list price. The first question: “It’s cheaper now — should we replace all the PCs with Cloud PCs?” The honest answer depends on your team and how they actually work. In some scenarios Cloud PC genuinely saves the day; in others it’s an unnecessary monthly cost on top of perfectly fine desktops. Let’s walk through the numbers and real use cases.

What is Windows 365 Business?

Windows 365 Business is a “Cloud PC” service that runs your entire Windows 11 desktop in Microsoft’s datacentre. Your apps, files and settings live in the cloud, not on a physical chassis. The same desktop is reachable from the office PC, a 5-year-old laptop at home, or a tablet — every time the user gets the same fully-configured Windows 11 session.

The single-line difference from a classic PC: the device is now just “a screen.” CPU, RAM and disk all run in the cloud. A 7-year-old laptop can run a modern Windows 11 session because the heavy lifting isn’t on the device — it’s in the datacentre.

When does Cloud PC actually make sense?

Strong fits:

  • Aging hardware estate: desktops 5+ years old that struggle with Microsoft 365 + Teams + Edge. A 36 USD/user/month Cloud PC is often cheaper than replacing the device.
  • BYOD scenarios: contractors, hybrid workers, employees using personal devices for work — Cloud PC isolates corporate data without enrolling personal devices in Intune.
  • Field staff occasionally needing a “real PC”: sales reps, project managers who normally work mobile but sometimes need a proper desktop for monthly reports.
  • Onboarding speed: new hires get a working PC in minutes, not days.
  • Seasonal workloads: retail / accounting / tax firms that need extra capacity for 2–3 months per year.

Weak fits:

  • Power users with fine PCs: developers, designers, engineers with current hardware. Cloud PC adds latency for negligible gain.
  • Always-online assumption is wrong: sites with patchy connectivity. Cloud PC requires a stable internet connection.
  • Heavy graphics / video editing: the Basic and Standard tiers can’t accelerate GPU workloads.
  • Tight budget with capable PCs: if existing hardware works, don’t pay monthly for the same outcome.

Cloud PC costs slightly more per month but removes the device-lifecycle disruption. The right call depends on how much that predictability is worth to you.

What you need to deploy Windows 365 Business

  • Microsoft Entra ID (any tier — Cloud PC works with Entra ID Free, but the experience improves with P1+).
  • A Microsoft 365 subscription with Windows desktop apps if you want Office on the Cloud PC (Business Standard or higher).
  • Windows 365 Business licences for each Cloud PC user.

No Intune required for Business (Enterprise edition does require Intune).

A 14-day pilot recipe

Day 1–3: Pick 5 pilot users across the spectrum (1 power user, 2 standard knowledge workers, 1 BYOD contractor, 1 sales rep).

Day 4–10: Provision Cloud PCs, get users to migrate their day-to-day work onto them, capture friction.

Can I install our legacy ERP / Logo / Mikro on a Cloud PC? Yes — Cloud PC is a real Windows 11 instance. Anything that runs on Windows 11 runs there. For 32-bit drivers or specialty hardware (e.g. POS, USB readers), test first.

What about data sovereignty? The Cloud PC region you select determines where data lives. For Turkish customers, EU regions are the typical pick.

Does it work with passkey + MFA? Yes. Windows 365 sign-in uses Entra ID; passkeys, FIDO2 keys and Conditional Access all apply.
