What Happens If You Don't Renew a Microsoft Subscription? No More Free Grace
Until this year, forgetting to renew a Microsoft subscription cost nothing. Your partner switched auto-renew off, service kept running for roughly 30 more days, and you made the call in that window. Microsoft removed the free grace on 4 May 2026. The year-end renewal round is the first time most companies will meet the new rule at full scale.
What follows applies to subscriptions bought through a Cloud Solution Provider (CSP) partner. If you buy directly from Microsoft, check the renewal setting in your own admin center instead.
What are the three options when the term ends?
According to Microsoft’s Partner Center documentation, you now pick one of three paths at the end date.
| Option | What happens | Watch out for |
|---|---|---|
| Renew | New term starts, annual commitment continues | The only moment you can change the seat count |
| Cancel at term end | Service stops when the term ends | Cannot be reactivated, data kept 90 days |
| Extended service term | Service continues, billed monthly | Monthly term price plus 3% |
So doing nothing is not free anymore. If auto-renew is still on, the subscription renews for another year. If your partner turns renewal off without an explicit cancel instruction, the system converts it to an extended service term.
What does an extended service term cost?
It is billed monthly at the monthly-term price of the product plus a 3% uplift. For products with no monthly plan the uplift is 23%.
Think of the difference as two items. The 3% is the visible one. The bigger one is usually that a monthly-term price sits above the annual-commitment price. As a worked example, a license listed at 100 units per month costs 103 in an extended term, and if your annual price was lower you pay that gap every month too. Ask your partner for the current price list rather than guessing.
The upside is flexibility. You can cancel at any time, renew, or move to a higher plan, and a cancellation is prorated to the days used. The limits are real though. During the extended term you cannot change seat count, term length or billing plan. A direct partner-to-partner transfer is also off the table, so you first convert back to the regular product.
January 2027: standalone SharePoint and OneDrive plans end
A second date lands in the same renewal window. Microsoft is retiring standalone SharePoint Online Plan 1 and Plan 2 and OneDrive for Business Plan 1 and Plan 2. The partner advisory gives this timeline:
- Sales to new customers stopped on 31 May 2026, existing customers could still renew.
- From January 2027 there are no renewals. Current contracts run until they expire.
- In December 2029 these plans are fully retired.
If your invoice has only a “SharePoint Online (Plan 1)” or “OneDrive for Business” line, that line may not be renewable next term. The way out is a Microsoft 365 Business or E3/E5 suite. If the problem is capacity rather than the plan, there are extra storage packs and a pay-as-you-go option. Pay-as-you-go SharePoint storage has been in public preview for commercial tenants since June 2026.
What to do before year end
- List every end date. The billing section of the admin center shows each subscription’s term end. Ask your partner for the same list and compare the two.
- Decide per line. Renew, cancel or extend. A line left undecided can quietly turn into something you did not choose.
- Cut seats now. You cannot reduce an annual commitment mid-term, so renewal is the one clean window. Clear out accounts that never sign in and people who left.
- Look at the add-on lines separately. Standalone SharePoint, OneDrive or Entra lines may duplicate what a suite already includes.
- Switch partners before the term ends. A subscription in an extended term cannot simply be transferred.
Frequently asked questions
Will my data be deleted if I forget to renew? No. After a cancellation, data is retained for 90 days, but service stops immediately. The extended service term exists precisely to avoid that outage.
Does this apply to my older subscriptions? According to the documentation, extended service terms cover subscriptions purchased or renewed between 1 April 2025 and 4 May 2026 whose term ends after 4 May 2026. Trials and end-of-sale products are excluded. Your partner can tell you which group you are in.
Is staying in an extended term a good idea? For a short time, yes. If your headcount is unclear or you are weighing a partner change, extend for a month or two and go back to annual once things settle. As a permanent setup it is expensive.
