New Term, New Load: Office Network and Wi-Fi Checklist for SMEs

Add ten new desks, five new laptops, and two extra meeting rooms to an office in September, and if the network is still running on spring’s capacity, the meeting-room Wi-Fi slows down first, video calls start freezing next, and “the internet is slow” becomes the daily complaint by the third week. The cause is rarely the ISP line itself; it’s usually a switch with no free ports left, a single access point past its comfortable load, or guest devices roaming the same network segment as company servers.

Switch and cabling: do you actually have enough ports?

Every new desk, phone, or printer added this term needs a port. On a 24-port switch, once utilization passes 80% — 19 or 20 ports filled — plan an upgrade before adding the next user. The “let’s grab another switch” decision made at the last minute tends to land on the busiest day, at the worst possible time.

Three things worth checking:

  • Port utilization: Are there fewer free ports than the number of devices you expect to add over the next 3 months?
  • PoE budget: As IP phones, wireless access points, and cameras add up, a switch’s total PoE power draw can run short; check it in watts, not just port count.
  • Cable labeling: When a port fails, can you find which desk it feeds in three minutes, or does someone have to trace cable runs inside the rack?

Wireless: how many devices does one access point actually handle?

The “256 clients” figure on the datasheet is a theoretical ceiling. In practice, one access point handles 25-30 concurrent devices comfortably; past that, latency and drops start showing up. In a 40-person office, once everyone’s phone and laptop combine into 70-80 simultaneous devices, a single access point is no longer enough.

Separating guest and IoT devices

Smart TVs, coffee machines, security cameras — these IoT devices are usually the weakest security link; a vulnerability in one can open a path to the file server or the accounting machine sitting on the same network. Putting them on a separate VLAN is, on its own, one of the most effective things you can do for both performance and security. Rotating the guest Wi-Fi password every quarter — a small habit that gets skipped often — quietly cuts off unlimited access for last season’s visitors.

Internet line: enough speed, and a backup connection?

This is the item most often skipped at the start of a term. As the company grows or cloud usage climbs — Microsoft 365, cloud backup, VoIP calls — if line capacity stays flat, the bottleneck shows up at the modem, not the switch. A 100 Mbps fiber line can fall short in an office where 30 people join video calls at once; as a rough rule of thumb, budget 2-3 Mbps per person. For businesses running on a single line, keeping a backup connection (a 4G/5G modem, or a second provider) means a main-line outage doesn’t stop the business entirely — email and critical apps stay reachable.

More bandwidth isn’t always the first fix. In some offices the real issue isn’t speed but prioritization: if backup software saturates the connection during the day, video calls end up behind it in line. Turning on QoS (traffic prioritization) at the switch or router level can fix this without buying a bigger line.

The quick start-of-term check

Six items that fit into half a day, whether you’re returning to the office or gearing up for a new term:

  1. Does switch port and PoE capacity cover the next 3 months of growth?
  2. Is the access point count in line with the number of devices connecting at once?
  3. Is the guest network on its own VLAN, with a current password?
  4. Is the network diagram (what connects where) up to date, or two years stale?
  5. Does the UPS keep the switch and modem running for at least 15-20 minutes during a power cut?
  6. Does the internet line slow down at peak hours (everyone in the office), and is there a backup?

No shortage of businesses skipped these six items last year and spent October chasing “why is the internet so slow.” Running this checklist before the term starts costs far less than hunting down an outage mid-season.
